The Zebra Partners, LLC ("Zebra") family office is the public and front face of the owners of BASIS Educational Ventures, LLC, operations and is the family office for the Founders of a national charter school network.  Zebra is seeking a talented Executive Assistant to support the Chief of Family Office Operations/Chief Financial Officer of BASIS Educational Ventures, LLC ("CFO").  We are looking for someone with professional maturity who can emulate the Founders’ company culture while maintaining the strict confidentiality of all matters related to the owner’s private business enterprises.  This highly organized and proactive Executive Assistant ("EA") will perform and execute the overall administrative duties for the CFO to conserve the CFO’s time and promote the corporate mission by representing the executive internally and externally.  The EA will provide support to the family office and BEV as needed or requested and will be responsible for confidential as well as time sensitive material.  A wide degree of problem-solving, creativity, and flexibility is expected. 

Primary Responsibilities:

  • Works in person, answering office phone, in-person inquiries, directing inquiries where appropriate, and other office duties as assigned by the CFO. 

  • Maintains CFO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel as requested. 

  • Prepares meeting space and materials for meetings hosted by CFO for attendees appearing both in-person and remotely, including ensuring any technology needed is loaded and working each time.? 

  • Creates or maintains office filing system, organizes files, including system access across multiple locations; scanning and filing as needed to keep files up to date. 

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. 

  • Collects mail routed to the CFO, routing to appropriate parties, scanning and filing. 

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. 

  • Welcomes guests by greeting them, in person or on the telephone, answering or directing inquiries. 

  • Performs administrative tasks as directed by CFO; this may include, but is not limited to, coordinating travel, reservations, appointments, collecting and sending mail,, accepting deliveries, and providing assistance to the Controller. 

  • Provides  support to Founders as requested by them. 

  • Completes assigned projects, following up on results. 

  • Maintains confidence and protects operations by keeping information confidential. 

Education and Experience Requirements:

  • Bachelor’s Degree preferred 

  • Ten (10) years in an administrative role, preferably working for executives in an entrepreneurial or family office environment 

  • IT literate and proficient in the use of Microsoft Outlook, Word, Excel, and PowerPoint including reporting skills as well as e-mail and the Internet, online meeting set-up, etc.
